In addition, if you already have your employees entered into Intuit QuickBooks the Y.E.S.! Time and Attendance will add these employees automatically without having to re-enter any information.
Your employees will be able to log in and log out using any of the following methods:
Computer mouse and keyboard
Keyboard wedge barcode reader (laser or barcode slot reader) (keyboard wedge devices must be purchased from or programmed by YukonSoft)
Serial (RS-232) barcode reader
Y.E.S.!Time and Attendance may optionally give a number of voice or sound prompts to notify the users that a "punch" operation was success as well as to inform the employee that he/she has punched out early or late or that the card scanned was invalid. Audio prompts require that a computer driver speaker be located near the barcode scanner. (YukonSoft does not provide audio hardware or cabling. Audio hardware and cabling may be obtained from any local computer or electronics outlet).

Activities
From this screen, employees can "punch-in" and "punch-out" automatically utilizing barcoded swipe card and a barcode reader or manually from the "Manual Log In" section of the screen shown above (lower left corner of the screen).
Swipe Card Punch-In/Out:
To Punch-In/Out utilizing a barcode imprinted swipe card, your employees do not need to type anything at a keyboard. They need only to "swipe" their employee swipe card through a barcode reader such as the one shown below or with a barcode scanner. The screen will show a message indicating a successful "punch" operation. Although the barcode swipe reader may be located as far as 50 feet away from the computer, it is recommended that a computer screen be located near the punch station in order that users can tell if their punch operation was registered successfully.
NOTE: A flashing LED signal and an audible "Beep" sound are generated by the barcode reader itself to confirm a successful card read. The LED signal and the audible Beep allow the card reader to be operated as a blind station (i.e., without viewing the main screen). When using the card reader alone (blind) the punch in/out messages need not be viewable by the employee. For this reason, Y.E.S.! Time and Attendance also comes with the capability of providing additional audible voice confirmation messages which can be played through computer speakers placed near the card reader.
SWIPE CARD READER

TYPICAL BARCODE SCANNER

NOTE: The same employee cannot swipe or scan his/her time swipe card within 10 seconds of his/her last swipe/scan. This is in order to prevent an employee from scanning twice in a row, when only one scan was necessary. If the second scan is ignored, the first scan was recorded. There is no delay between scanning different employees.
NOTE: To use swipe cards in Y.E.S.! Time and Attendance, you currently cannot have the main Y.E.S.!or the Y.E.S.! Point of Sale applications running at the same time.
As long as Y.E.S.! Time and Attendance is running, even if the program is MINIMIZED, your employees can Log In and Log out using their Swipe Cards. The screen shot below shows an example of the message that will appear on the computer screen as an employee punches in while Y.E.S.! Time and Attendance is running minimized.
There are settings to enable and disable visible punch confirmations and early/late punch notices if the computer hosting Y.E.S.! Time and Attendance is currently being used by another employee as a work station .
More than one barcode scanner (reader) can be installed in a networked system to allow for multiple entrances and exits at your place of business.
Manual Punch-In/Out:
To punch-in or punch-out manually, the employee selects his/her name from the drop down "Employee" list, then types his/her password in the "Password" field and then clicks on the "Punch Clock" button. If the password entered was invalid, a message will alert the employee that the password entered was not correct.
Manual punch-in/out capability allows each office worker to have access to Y.E.S.!™ Time and Attendance on their own local personal computers (see Site License for applicability).
